Cardiff Buddhist Centre Concerns & Complaints Policy 

Our approach comes from our Buddhist values— kindness, compassion, wisdom, generosity, patience, diligence, and awareness. We truly welcome all kinds of feedback: encouraging words, questions, worries, or formal complaints; every view helps us serve our community better.

If it’s about safeguarding or harm, please email safeguarding@cardiffbuddhistcentre.com. Our Safeguarding Officer, Prajnavaca, will treat it sensitively and confidentially. If a criminal matter comes to light, we will follow proper legal procedures. 

If you have a concern…
Most worries are cleared up quickly and gently— just speak first to the person running the activity, or contact Gavin (Centre Manager) or Vishvapani (Coordinator), or one of our Trustees. Open conversation is always our starting point. 

If you wish to make a complaint…

Informal first: talk or write to the Coordinator. We listen carefully, try to explain things clearly, offer mediation, or make changes where we can. This works well for most situations.
Formal process: If things aren’t resolved or are too serious for an informal approach, please put it in writing with details. We will acknowledge it quickly, investigate fairly and confidentially, and give everyone involved a chance to speak and be supported— you may bring a friend or supporter. We produce a clear report and agree next steps.

Appeal: If you are still unhappy, you can write to the Coordiantor, Manager, or Trustees. A fresh group of trustees— not involved earlier— will review the case and give a final decision.

We treat everyone fairly and respectfully and aim to move things along without unnecessary delay. Where changes are needed, we undertake to learn and improve, so the whole community benefits. We also offer mediation where there is conflict, to help restore harmony within our Sangha. Only in very rare cases will sanctions such as suspension or exclusion be considered.

We review this policy every five years— next due March 2031.
